When you sign up to join our guild, we're gonna need some basics:

• Personal Identification: Your name, email, phone number, address - the usual character creation stuff
• Payment Details: Credit card info, billing address when you're grabbing that membership or booking sessions
• Health & Fitness Data: Medical history, current fitness level, injuries we need to know about, your training goals and progress
• Account Info: Username, password, your guild preferences and class bookings
• Visit Records: Check-in times, what classes you're crushing, equipment usage
• Communications: Emails, messages, feedback you send our way

We also grab some technical stuff automatically when you're browsing our site - IP address, browser type, pages you visit. Standard digital footprint tracking, nothing creepy.

We're not hoarding this info for no reason. Here's what we do with it:

• Running Your Membership: Processing payments, managing your account, booking you into those Combat Conditioning classes
• Personalizing Your Training: Creating custom Quest-Based Personal Training programs that actually match your goals
• Safety First: Keeping track of health conditions so our trainers can modify exercises and keep you injury-free
• Communication: Sending class schedules, updates about guild events, responding to your questions
• Improving Services: Analyzing what's working, what's not, making the gym experience better
• Marketing: Sending you promotions and new program info (only if you're cool with it - you can opt out anytime)
• Legal Compliance: Meeting our obligations under Canadian privacy laws and regulations

We're not selling your info to random merchants or sketchy third parties. But we do share it with:

• Our Training Staff: Personal trainers and instructors need access to your fitness data and health info to keep you safe and help you progress
• Payment Processors: Secure third-party services that handle credit card transactions
• Service Providers: Companies that help us run the gym - scheduling software, email services, that sort of thing. They're bound by confidentiality agreements
• Legal Requirements: If the law requires it or we need to protect someone's safety, we'll share what's necessary
• Business Transfers: If Runevorn Realms gets acquired or merges with another company, your info would transfer to the new owners

Everyone who gets access to your data is required to protect it with the same level of security we maintain. No exceptions.

Your data's locked down tighter than our equipment storage after hours:

• Encryption: All sensitive data's encrypted both in transit and at rest
• Secure Servers: Our systems are protected by firewalls and security monitoring
• Access Controls: Only authorized staff can access your personal info, and only what they need for their job
• Regular Updates: We keep our security systems current with the latest protections
• Physical Security: Paper records are locked up, and our facility has controlled access
• Staff Training: Everyone on our team's trained on privacy protection and data handling

No system's 100% bulletproof, but we're doing everything reasonable to keep your info secure.

We don't keep your stuff forever. Here's the breakdown:

• Active Membership: As long as you're training with us, we keep your complete records
• After You Leave: We'll hold onto your data for 7 years to comply with Canadian business and tax regulations
• Marketing Lists: If you've opted into marketing, you're on the list until you tell us to remove you
• Legal Requirements: Some records gotta be kept longer if the law says so

Once the retention period's up, we securely delete or anonymize your information.

It's your data, and you've got control over it. Under Canadian privacy laws, you can:

• Access: Request to see what personal info we've got on file for you
• Correction: Ask us to fix any info that's wrong or outdated
• Deletion: Request we delete your data (with some exceptions for legal requirements)
• Opt-Out: Unsubscribe from marketing emails anytime - there's a link at the bottom of every message
• Restrict Processing: Ask us to limit how we're using your info
• Data Portability: Get a copy of your data in a usable format
• Withdraw Consent: Change your mind about anything you've previously agreed to
